Round Robin Halloween Folder Swap: A Spooky, Creative Journey

Join us for a fun and creative Halloween-themed swap! In this Round Robin, you and a group of fellow crafters will each add your personal touch to a shared folder. Each participant decorates a section of the folder and adds some spooky goodies.

As the folder moves from one person to the next, it will become a unique keepsake, filled with contributions from everyone in the group. When it returns to the original creator, it will be fully decorated, showcasing the combined creativity and Halloween spirit of the entire team.

How It Works

First Round: Creating your base folder

Start with the basics: Craft your base folder, which should be A5-sized (approximately 5.8 x 8.3 inches, a folded A4 sheet). Decorate the front and back with a Halloween theme of your choice to set the festive tone for the swap.

>> Ensure your swap ID is prominently displayed on the folder. This ID is essential for confirming receipt of your folder at each round.

Divide and conquer: Inside your folder, divide the space into four equal sections, leaving these blank for your fellow participants to decorate.

Mail your folder: Once your folder is complete, mail it to the next person in your group.

Second Round:

Decorate your section: When you receive a folder, choose one of the four empty sections to decorate. Add a pocket or small envelope within that section, ensuring it fits snugly inside the folder.

Add a treat: Include a small Halloween-themed goodie in your pocket or envelope, such as:

  • Stickers
  • Washi tape samples
  • Mini Halloween charms
  • Paper ephemera
  • Small stamped imag

Pass it on: Once your section is complete, mail the folder to the next person in your group.

Subsequent Rounds:

Add your magic: Each time you receive a new folder, decorate one of the remaining empty sections. Bring your unique flair to the pocket or envelope you attach.

Include a goodie: Insert a new Halloween-themed item inside your pocket or envelope before sending the folder to the next participant.

Final Round:

Return to sender: After the folder has completed its journey through all participants, return it to the original owner.

Enjoy the reveal: The owner now has a fully decorated Halloween folder, with each section uniquely designed by different participants and filled with Halloween-themed goodies.

Unveiling and sharing:

Share the experience: While sneak peeks are fine, avoid sharing your full creations during the swap. Once everyone has received their completed folders, participants can share photos in the gallery and on social media using the hashtag #SMFhappymail. This step is a great way to express thanks, admire others' creativity, and celebrate the collaborative effort.

Guidelines and Tips

Folder Design:

Sturdiness matters: Choose durable materials like cardstock, heavy scrapbook paper, or thin chipboard to ensure your folder can withstand multiple mailings.
Get Creative with Pockets: Feel free to craft pockets or envelopes from materials like paper, vellum, or fabric, adding your unique style.

Decoration Style:

Explore different vibes: Encourage participants to try various styles—vintage, spooky, cute, etc.—to give each folder a unique and eclectic Halloween vibe.

Mix it up: Use a variety of decorations like stickers, washi tape, die-cuts, stamped images, or hand-drawn elements to add interest.
Mailing Timeline:

Stay on track: Adhere to the set mailing deadlines for each round to keep the swap moving smoothly.

Communication:

Stay connected: Use the private forum to share updates, resolve issues, and connect with participants. Be sure to tag others to ensure they receive notifications.

Protect your creation: Securely package folders to prevent damage during transit. Consider using padded envelopes or adding a piece of cardboard for extra protection.

Optional Twists

Themes per section: Assign sub-themes like "Witches’ Brew," "Haunted House," "Spooky Night," or "Pumpkin Patch" to guide decorations and create a cohesive, varied look.

Interactive elements: Include interactive elements like pull-out tabs or hidden messages to make the folder more engaging.

Golden Rules and Important Notes

Keep it a surprise: To preserve the magic, avoid sharing your contributions on social media during the project. Let the final reveal be a delightful surprise for the folder’s owner.

Dedication is key: This swap spans several months, so commitment is essential. Only join if you can invest the time, mailing costs, and passion required.

Timeliness matters: Please ensure that each folder reaches the next participant promptly. If you anticipate any difficulty continuing or managing the costs, it’s best not to join. A delay or break in the chain will bring the entire Round Robin to a halt.

Handle with care: Treat received and sent folders with respect, as they embody the creativity and effort of both you and the sender. Using a sturdy envelope and optional tracking is recommended to ensure smooth exchanges.

Communicate: Stay in touch with your partners via our private forum or a private message. Updates are vital for a successful swap.

If you need any help or have any questions, don’t hesitate to ask. Just a friendly reminder that the first-round sending deadline is coming up soon—August 31st is just around the corner!

I forgot to mention the reminder that I'd like to use this Round Robin for a 'how-to' video, but I need your approval to move forward. 3citycats is already on board, but I do need everyone's consent. I’d really appreciate it if you could let me know your thoughts. Thanks in advance!

Unfortunately, I had to remove Kim from the event as I was unable to reach her, and her crafting status remained unchanged. I hope she is well.

This is the first time we've had to remove someone while the event is in progress. If you encounter any issues with the round robin, especially if you receive any error messages, please take a screenshot and send it to me so I can fix it as soon as possible.
